Who This Checklist Is For (And When to Use It)
This is for anyone who gets stuck managing industrial equipment purchases—cranes, hoists, motors, undercarriage parts—without being an engineer. I'm an office administrator for a mid-sized manufacturing company. I manage roughly $150k annually in equipment orders across 6 vendors, covering everything from routine spare parts to major lifting upgrades.
If that sounds familiar, this checklist is for you. It's based on about 80 orders I've placed over the last 3 years—mostly with Demag and their authorized distributors. Some went smoothly. Some didn't. The ones that went wrong? Almost always because I skipped a step on this list.
There are 5 steps. Follow them in order. Avoid the mistakes I made.
Step 1: Verify the Application Specs (Not Just the Part Number)
This sounds obvious, but I've messed it up twice. The first time, I ordered a replacement electric motor for a Demag overhead crane. I had the part number from our maintenance team. Ordered it. Installed it. Didn't fit—wrong shaft diameter. Cost us 3 days of downtime and a $200 restocking fee.
What I do now: Before ordering any component, I confirm three things with the person who'll install it—
- What's the exact application? (Crane model, age, load capacity)
- What's the installation context? (Indoor/outdoor, high-temp area, clean room?)
- Have they physically verified the existing part? (Not just pulled a number from memory.)
Checkpoint: Get a photo of the existing part's nameplate. Demag's serial number system can tell you a lot—but only if you have the actual number.
Step 2: Check the Lead Time (And Add a Buffer You Don't Admit To)
I learned this one the hard way. In Q3 2024, I ordered a spare parts kit for our Demag mobile crane. Supplier quoted 5 business days. I needed it in 12 days—plenty of time, I thought. The order got flagged for export compliance (turned out the kit included a component with dual-use classification). Total elapsed time: 19 days.
My buffer formula now:
- Standard inventory items: Add 5 business days to whatever they quote
- Custom/configurable items: Add 10 business days
- Items with export controls: Add 15 business days minimum
Checkpoint: Ask the supplier—explicitly—whether the item is classified as dual-use, ITAR, or EAR-controlled. If they hesitate, assume it is.
Step 3: Confirm the Installation Requirements (Not Just the Specs)
This is the step most people skip. I almost skipped it on a big Demag hoist replacement last year. The specs were fine. The price was fine. But when I asked our facilities team what they needed for installation, I got a list: crane rail modifications, electrical work, and a rigging crew for 2 days. That added $4,800 to the project that wasn't in my budget.
What I now ask before ordering:
- Does the new equipment require structural modifications? (Reinforced rails? New mounting points?)
- Electrical compatibility? (Voltage? Phase? Control system integration?)
- Training needed for operators? (Some Demag control systems require a half-day familiarization session.)
- Site access? (Can the delivery truck reach the installation area? I once paid a crew to hand-carry a motor assembly 200 feet because the loading dock was too small.)
Checkpoint: Get a written installation scope from whoever will do the work. Not a verbal 'yeah, we can handle that.'
Step 4: Understand the Warranty and Service Terms (Before You Pay)
I'm not sure why, but warranty terms on industrial equipment seem intentionally opaque. I've seen a 12-month warranty on a Demag hoist that explicitly excluded 'normal wear'—which, for a hoist, is almost everything that breaks.
My checklist:
- What's covered? (Parts? Labor? Travel time?)
- What's explicitly excluded? (Check the fine print—consumables, normal wear, misuse by operator)
- How do you file a claim? (Online portal? Phone call? Will someone come onsite?)
- What's the response SLA? (48 hours? 5 business days? 'Reasonable efforts'?)
Example: On our last large Demag crane order, the standard warranty had a 24-hour phone response but a 5-day on-site response. We paid a small premium for a service contract that brought the on-site response to 48 hours. Worth every cent—we had a motor controller issue at 11 PM on a Friday. Service tech was on site by 10 AM Saturday.
Checkpoint: Ask for the warranty document in writing before you issue the PO. Compare it to the quote's terms. If they differ, get clarification in the quote.
Step 5: Build the Relationship (Not Just the Transaction)
This one's harder to quantify. But in 2020, when I took over purchasing, I treated every order as a transaction. I shopped for the lowest price. I switched vendors frequently. The result? When I needed an urgent part for a Demag excavator repair (well, not a Demag—Demag doesn't make excavators, but I needed a similar undercarriage component for a Komatsu, and my Demag distributor had the cross-reference), guess who didn't return my call until Tuesday?
What changed: I started having quarterly check-ins with my main vendors—15-minute calls to talk about upcoming projects, potential bottlenecks, and generally show I wasn't just calling when something broke. The result has been better pricing (not always, but often), faster responses, and—critically—a phone call when they see a potential issue with an order before it ships.
Checkpoint: Pick 2-3 vendors you'll maintain a real relationship with. The rest? Transactional. But those 2-3 will save you in a crisis.
Honest Caveat (From My Limited Experience)
My experience is based on about 80 orders with Demag and their distributors. If you're buying directly from Demag's OEM catalog versus a third-party re-seller, your experience might differ. I've only worked with the U.S. branch of Demag. I can't speak to how these principles apply to their European operations or to direct factory orders.
Also—this is pricing as of early 2025. Industrial equipment prices fluctuate with steel, electronics availability, and exchange rates. Verify current rates before budgeting.
One last thing: if you're reading this hoping to learn how to fold a paper crane, this isn't that article. But if you're buying a real industrial crane, the principles above apply. And if you're ever stuck between a Denali truck chassis or a Kubota skid steer for a job site? That's a different checklist entirely. But the same buying logic applies: spec, lead time, installation, warranty, relationship. It's a pattern that works across categories.
